Server Rack ID Placement Checklist

Proper placement of server rack ID labels ensures that all physical assets, doors, power units, cables and ports are easily identifiable for easy scanning and accessible for maintenance, while promoting adequate airflow for cooling.

Use this checklist to ensure your data center’s server racks are standardized for easy maintenance and inspection.

  • All Equipment

    • Use tamper-resistant, polyester cable labels for durability and security.
    • Standardize where you place identification barcodes, making sure they can be scanned without disassembly (scan in place).

  • Rack Doors

    • Place high-contrast rack ID at eye level on the front door, repeat with a smaller ID on the rear door.
    • Ensure that rack IDs are readable with the door open and close. Be sure to note that hinges don’t obstruct the view.

  • Power Distribution Units (PDUs)

    • Label each PDU with the device ID and power feed near the breaker display. Keep labels clear of vents and indicator LEDs.
    • Add a barcode/QR code tied to a database for maintenance and load audits.

  • Cord Feeds and Entry Points

    • Use wrap around or flag labels on small-diameter cables.
    • Mark cord entry/egress points with route IDs, using directional arrows or clear “TO” and “FROM” indicators to reduce tracing time.

  • Patch Panels

    • Use raised-panel or faceplate labels sized for 24/48-port density.
    • Align port numbering to admin records. Make sure the labels don’t block ports.
    • Use a standardized format to ensure clarity across different technicians and racks.

  • Cable Trays/Ladders

    • Identify tray segments and routes at key decision points and service areas.
    • Use a raised-mount labeling system to identify cables in overhead baskets or ladders.

  • Switches

    • Ensure switch ID is in the database and include its management IP address.
    • Make sure labels don’t cover vents or buttons.

  • Documentation

    • Confirm ALL labels match your naming convention and database fields.
    • Photograph final placements and record server rack in its “clean” state for future reference.
